Create CRM Note Tool

Seamlessly integrate customer interactions into your CRM by dynamically creating and attaching rich notes to contacts through scenarios.

The Create CRM Note tool in echowin's Scenario Builder allows you to seamlessly add notes to contacts in your CRM (Customer Relationship Management) system. This guide provides an overview of this tool and its configuration options, enabling you to create informative notes for your contacts.

Configuration

When configuring the Create CRM Note tool, you have the following options:

1. Note Content: Enter the content of the note you want to create for the contact.

2. Note Type: Select the type of note you want to create from the following options:

  • Gray: General Note
  • Blue: Information Note
  • Yellow: Warning Note
  • Red: Danger Note

You can select the desired note type by clicking on the corresponding colored circle in the configuration interface.

Usage

To use the Create CRM Note tool in your scenario:

  1. Add a Create CRM Note task to the desired point in your scenario flow.
  2. Open the Create CRM Note task configuration.
  3. Enter the note content in the "Add Note" text area.
  4. Select the appropriate note type by clicking on the corresponding colored circle.
  5. Save the configuration.

When the scenario reaches the Create CRM Note task during execution, it will create a note for the contact based on the configured settings. The note will be linked to the contact's phone number and will be visible in the "Contacts" page.

Linking Notes to Contacts

When a CRM note is created using the Create CRM Note tool, the system follows these steps:

  1. Check for Existing Contact: The system searches for an existing contact in the CRM with the phone number associated with the current conversation.
  2. Create New Contact (if needed): If no contact exists for the phone number, the system creates a new contact named "Unknown Caller".
  3. Add Note to Contact: Once the relevant contact record is identified or created, the system links the note to that contact's profile.

All the notes created for a contact can be viewed on the "Contacts" page in echowin.
